Privacy policy (Datenschutzerklärung)
The German version of this page is legally binding; this translation is provided for information.
1. Controller (Art. 4 (7) GDPR)
LARRS Business Management (Einzelunternehmen), Leandro Attyla Rodrigues Ribeiro Silva, Havelländer Ring 43, 12629 Berlin, Deutschland. Email: clientintake@larrsbusinessmanagement.com.
2. Hosting and server log files
When you visit this website, our server (hosting: IONOS SE, Germany) automatically records your IP address, date and time, the requested path (without query parameters), the response status, the amount of data transferred and browser information (user agent). Legal basis: Art. 6 (1) (f) GDPR (secure and stable operation, abuse prevention).
Retention period: 14 days. Log files are rotated daily, and rotated files are deleted after 14 days. To prevent abuse (rate limiting), our application also processes the IP address briefly in memory, without storing it.
3. Contact form
If you use the contact form, we process your name, company (optional), email address, your message and the language of the page. The message is sent server-side via IONOS email to clientintake@larrsbusinessmanagement.com; afterwards it sits in the mailbox of that address and is also recorded in LARRS’s internal client records as a request awaiting review (it does not make you a client and starts no process on its own). We keep technical notes on it (time, delivery status of the email, a reference ID) and compare your email address internally with existing client contacts, only to spot possible duplicates. Purpose: handling your enquiry and replying to you. Legal basis: Art. 6 (1) (b) GDPR (pre-contractual measures) or (f) GDPR (handling business enquiries).
Retention period: we keep your enquiry for as long as it is needed to handle it and delete it afterwards, unless statutory retention obligations (for example § 257 HGB, § 147 AO) apply. The database is backed up regularly; backup copies are additionally kept in cloud storage of Google Cloud in the EU (Frankfurt region).
4. AI chat “Charlie”
Charlie is an AI assistant of LARRS Business Management, not a person: you are interacting with an AI system. Your messages are transmitted to Anthropic (provider of the language model; processing in the USA is possible) to generate the reply. Please do not enter sensitive or unnecessary personal data.
We do not store conversation content; we only record technical metadata without content (time, language, volume, usage units, error code). The only exception is the summary you expressly ask for (section 5). Anthropic’s own terms apply to storage on their side. Legal basis: Art. 6 (1) (f) GDPR. No automated decision-making within the meaning of Art. 22 GDPR takes place.
5. Conversation summary (optional, with your consent)
When your enquiry has taken shape in the chat, Charlie asks whether we may create a summary of the conversation for you, so that LARRS can follow up on your enquiry. The summary is only created if you answer “yes”, enter your email address and trigger the sending yourself. Without your consent, no summary is created and no email address is requested; the chat remains available in any case.
We process the conversation of this session (as your browser sends it), your email address (required for sending), your name and company (optional), the language, and the record of your consent (time, language and version of this notice). The conversation is transmitted to Anthropic (provider of the language model; processing in the USA is possible) so that a structured summary is generated, which keeps what you stated, preliminary assessments and possible next steps apart, and includes an internal, preliminary commercial classification (for example start, grow or transform) that helps our team to prioritise — it is not a decision about you, and it appears only in the copy for our team and in the record, not in the email sent to you. The summary is sent by email, through IONOS’s email service, to the address you gave; a copy of the summary (not of the full conversation) goes, with your contact details and the record of consent, to the mailbox clientintake@larrsbusinessmanagement.com and is recorded in LARRS’s internal client records as a request awaiting review. Recording a request does not make you a client and starts no process on its own. In doing so, we compare your email address internally with the contact details of existing clients, only to spot possible duplicates; no data is merged automatically. The email address you give is not verified.
Purpose: to deliver the summary to you and to follow up on your enquiry. Legal basis: your consent, Art. 6 (1) (a) GDPR. You may withdraw your consent at any time with effect for the future (Art. 7 (3) GDPR), informally, by email to clientintake@larrsbusinessmanagement.com; the lawfulness of the processing carried out until then is not affected.
Storage and retention period: we do not store the full conversation. What we store — the summary, your email address, your name and company (if given), the language and the record of your consent, together with technical notes on the request (time, delivery status of the emails, a reference ID) — is recorded in the database of the LARRS application, on the server of this website (see section 2), and sits in the mailbox as a copy. The database is backed up regularly; backup copies are additionally kept in cloud storage of Google Cloud in the EU (Frankfurt region). We keep the request for as long as it is needed to handle your enquiry or until you withdraw your consent, and delete it afterwards, unless statutory retention obligations (for example § 257 HGB, § 147 AO) apply.
Conversation content is not automatically incorporated into any LARRS knowledge base and is not used by us to train models. No automated decision-making within the meaning of Art. 22 GDPR takes place.
6. Voice (pre-recorded greeting)
Charlie’s voice is AI-generated. The greeting is a single pre-generated audio file in English, delivered by our server like any other file of this website. It was generated once, before publication, with an AI voice service; no visitor data was used for it. No audio is generated during your visit, and no data is transmitted to a speech service.
The greeting plays at most once per browser session, after your first interaction with the page (click, tap or key press). With the “Turn voice off” button you can switch the voice off at any time, and “Stop audio” ends a playback in progress. Charlie’s replies in the chat are not read aloud.
7. International transfers
Processing by Anthropic (chat and creation of the summary) may take place in the USA. Basis: the adequacy decision for the EU-US Data Privacy Framework (Decision (EU) 2023/1795), where the provider is certified, and Standard Contractual Clauses (Art. 46 (2) (c) GDPR). A copy of the safeguards is available on request.
8. Browser storage
This website sets no cookies, uses no analytics and no tracking. A single technical flag is stored in your browser’s sessionStorage (whether the greeting has already been played), and only when playback begins. It contains no personal data, is never transmitted to us and ends with your browser session. The state of the voice switch is not stored. Legal basis: § 25 (2) no. 2 TDDDG.
9. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20), objection (Art. 21) and the withdrawal of consents given (Art. 7 (3)).
